Privacy Policy

1. Who we are

VoiceGun is operated by APPWRK IT Solutions Pvt Ltd, of 101 First Floor, WORLD TECH 67, ITC 10, Near Municipal Building, Sector 67, SAS Nagar, Mohali, Punjab 160062, India, for customers in India, and by APPWRK IT Solutions LLC, registered at 30 North Gould Street, STE R, Sheridan, WY 82801, United States, for customers everywhere else ("VoiceGun", "we", "us"). We are the data controller for personal data collected through voicegun.ai and for data we process about our own customers.

Where a customer uses our platform to call or message their own contacts, that customer is the controller of their contact data and we act as a processor on their instructions. This distinction matters: if you were contacted by an AI agent running on VoiceGun and want your details removed, see Data deletion, which covers both routes.

2. Data we collect

From this website

• Your phone number, if you request a test call from the form on our home page. We use it to place that one call and to follow up about VoiceGun.
• Your IP address. When you submit that form we resolve your public IP through a third party service and send it with the request, so the call can be rate limited and checked against regions we do not dial.
• Session analytics and session replay. We use Microsoft Clarity, which records how pages are used: clicks, scrolling, mouse movement and page navigation. These recordings are not masked, which means text you type into forms on this site, including a phone number, can appear in a replay. Clarity also sets cookies to recognise a returning session.
• Traffic analytics. We use Google Analytics 4, loaded through Google Tag Manager, which records the pages you view, how you arrived, an approximate location derived from your IP address, and your device and browser characteristics. It sets cookies to tell one visitor and one session from another.
• Standard server logs generated by our content delivery network, including IP address, user agent, timestamp and the page requested.

From WhatsApp

• Your WhatsApp phone number and profile name, when you start a chat with us or when a customer of ours sends you a message through our platform.
• Message content, including anything you send us and what we send back, such as an address, a location or a document you asked for.
• Delivery and read status reported back to us by WhatsApp.

We only message a WhatsApp number where there is a lawful basis to do so, in practice an opt-in. You can stop messages at any time by replying STOP, or by blocking the number in WhatsApp.

From the calling platform

• Account data for our customers: name, work email, company, billing details.
• Contact data uploaded by customers, typically a name and phone number and whatever context the customer chooses to add.
• Call recordings and transcripts. Calls placed or received through VoiceGun are recorded and transcribed, which is how outcomes are written back to a CRM and how a compliance review is answered later.

3. Why we use it, and on what basis

• To provide the service you or our customer asked for, including placing the call or sending the message. Basis: performance of a contract.
• To place a requested test call and follow up about it. Basis: your consent, given when you submit the form.
• To keep the service secure and working, including rate limiting, fraud prevention and debugging. Basis: our legitimate interests.
• To improve the website and product using analytics and session replay. Basis: our legitimate interests, and consent where local law requires it.
• To meet legal and regulatory obligations, including retaining evidence of disclosure and consent on regulated calls. Basis: legal obligation.

4. AI disclosure and call recording

Calls made through VoiceGun are handled by an AI voice agent, and the agent discloses that at the start of the call. Every connected call is recorded and transcribed. Where local law requires all-party consent to record, it is the calling party's responsibility to obtain it, and our platform provides the disclosure and consent tooling to do so.

5. Who we share data with

We do not sell personal data. We share it with service providers who process it on our behalf, under contract, for the purposes described above:

• Amazon Web Services. Website hosting and content delivery (S3 and CloudFront, us-east-1).
• Microsoft Clarity. Product analytics and session replay on voicegun.ai, including recordings of page interactions.
• Google (Analytics 4 and Tag Manager). Website traffic measurement and tag management. Sets cookies to distinguish visitors and sessions, and records pages viewed, referrer, approximate location derived from IP, and device and browser characteristics.
• ipify. Resolves the visitor IP address when a test call is requested, so the call can be rate limited and geo checked.
• Meta Platforms (WhatsApp). Delivers WhatsApp messages, and carries the conversation when a visitor starts a chat from this website.
• Telephony carriers. Twilio and Exotel. They carry the call and necessarily process the numbers involved.
• Cashfree Payments. Processes card, UPI and net banking payments made in the app. Card and bank details are entered on Cashfree's own payment page and never reach us; we receive the payment's status and reference.

We also disclose data where we are legally required to, and to a buyer or successor if the business is sold, in which case this policy continues to apply until it is replaced.

6. International transfers

Our infrastructure runs in Amazon Web Services in the United States, and our providers operate globally. Where personal data moves out of the country it was collected in, we rely on the transfer mechanisms available to us, including standard contractual clauses with the provider concerned.

7. How long we keep it

• Call recordings and transcripts: kept for 60 days, unless the customer configures a shorter period or we are required to keep them longer.
• Test call requests from this website: kept while we are in contact with you about VoiceGun, and deleted on request.
• WhatsApp conversations: kept for as long as needed to answer you and to evidence your opt-in, then deleted.
• Analytics and session replay: retained by Microsoft Clarity under its own retention schedule, currently a rolling period of up to 13 months.
• Account and billing records: kept for as long as the account is open and then for the period tax and company law requires.

8. Your rights

Depending on where you live, you can ask us to:

• tell you what personal data we hold about you, and give you a copy;
• correct data that is wrong or incomplete;
• delete your data, see Data deletion;
• restrict or object to how we use it, including profiling;
• withdraw consent you previously gave, without affecting what we did before;
• receive your data in a portable format;
• stop receiving calls or WhatsApp messages from us;
• complain to your local data protection authority.

Write to privacy@voicegun.ai and we will respond within 30 days. We may need to verify who you are first, which normally means answering from the email address or phone number the request concerns.

9. Cookies and tracking

This site does not run advertising trackers, and we do not sell or share data for cross-context behavioural advertising. It does set analytics cookies, through Microsoft Clarity for session replay and through Google Analytics 4 and Google Tag Manager for traffic measurement, as described above. You can block all of these with your browser settings, a privacy extension, or Google's own opt-out add-on, and the site will continue to work normally.

The VoiceGun app (app.voicegun.ai) sets no cookies and runs no analytics or session replay. It keeps your sign-in and a few display preferences in your browser's local storage, and nothing else.

10. Security

Data is encrypted in transit using TLS. Access to production systems and to call recordings is restricted to staff who need it. No system is perfectly secure, and we do not claim otherwise, but we will notify you and the relevant regulator where a breach requires it.

11. Children

VoiceGun is a business product and is not directed at children. We do not knowingly collect data from anyone under 16. If you believe a child's data has reached us, contact us and we will delete it.

12. Changes

We update this policy when the product or the law changes. The date at the top of this page is the version in force. Material changes will be flagged to account holders by email.
